The Production Coordinator will be a conduit between the Client, Sales Executive, Operations Manager, Art Department, Production Department and Shipping Department. The incumbent will have the opportunity to learn how to deliver the highest quality of Customer Service in a fast paced environment. The position will support one or more Sales Executives. The Production Coordinator will learn a multitude of tasks, depending on the customer needs and purchase requirements. The individual will experience new administrative situations and offer critical support to the team.


Essential Duties


•Order entry – The production coordinator will enter all new job requirements and details in the production system directing all departments on production requirements. They will be responsible for accurately updating information as the job progresses or information changes. They must be extremely detail oriented as they are responsible for accurately relaying all information from the client, to the production system and ultimately the production floor.
•Communicate with clients over email, phone and or in person – The production coordinator is the direct and main contact for all client communications. They will receive all order details from the client and will communicate with them directly on statuses, pricing, questions or issues, shipping information and invoicing.
•Internal communications – The production coordinator is the primary source of information for all internal departments. They are responsible for managing all details for every assigned job and communicating details to the sales, art department, accounting, management and production floor.
•Invoicing – The production coordinator is responsible for prepping all invoices with needed information for the accounting department. They are responsible for updating the internal system with pricing, PO information and specific job and client details. They are also responsible for reviewing all invoices prior to posting and for sending invoices to the clients.
•Administrative duties – The production coordinator will experience various administrative duties throughout each day including: data entry, report creation, job costing, assisting with other departments and other various tasks.
•Facilitate in-house sales, working directly with clients, managing job information, pricing and schedules.
•Outsource production and services to outside vendors, handling all purchase order and invoicing needs.
•Manage the costs, schedules and monitor adherence to job budget and delivery needs.


Required Qualifications


• A minimum education level of: Bachelor of Arts/Sciences
• Print Industry Experience: knowledge of substrates, presses, print sales
• Minimum 2-5 years office and/or administrative experience
• Polished administrative technical skills (i.e., computer, phone, email, phone, fax, type, etc.)
• Excellent customer service and problem resolution skills
• Proficient with Microsoft Office Product (Outlook, Word, Excel)
• Detail oriented with a focus on accuracy
• Extremely organized and able to handle multiple projects simultaneously
• A team player with positive work ethic
• High energy, self-motivated, and maintains professional demeanor
